Privacy Policy

This policy explains how AgentsHead collects, uses, and protects personal information from people who contact us — through the website contact form, by email, or via our AI-powered WhatsApp assistant. We build AI systems for businesses, and as part of that we operate our own WhatsApp AI agent that handles inbound inquiries. This document applies to anyone reaching out via those channels.
1. Who we are
AgentsHead is an Israel-based business that builds AI agents and automation solutions. Privacy questions: info@agents-head.com.
2. What information we collect
- WhatsApp messages: the content of messages you send to our WhatsApp number (text, images, documents, media), sender phone number, display name, timestamp, and delivery metadata received from Meta (WhatsApp Cloud API).
- Website inquiries: name, phone, email, and any details you choose to enter into the contact form.
- Basic usage data: request timestamps, device type, and minimal analytics via Vercel Analytics (no identifying cookies).
3. Why we collect it
- To respond to your inquiry — by a human or via the AI assistant.
- To follow up through the service flow (proposal, consultation, demo).
- To improve service quality, the assistant's answers, and the product.
- To comply with legal obligations (invoices, tax records, consent documentation).
4. Legal basis for processing
Processing is based on implied consent — when you reach out to us through one of these channels — and on our legitimate interest in operating and improving the service. For users in the EU, the GDPR legal bases are Article 6(1)(a) consent and Article 6(1)(f) legitimate interest.
5. Who we share data with
We do not sell personal data. We work with the following sub-processors, strictly for service delivery:
- Meta Platforms (WhatsApp Cloud API): transports WhatsApp messages between the customer and us. Subject to WhatsApp's Business Policy.
- Anthropic (Claude API):the AI model that generates the assistant's replies. Per Anthropic's policy, API data is not used to train models.
- Google Cloud / Firebase: storage of conversations and internal CRM data.
- Vercel: website hosting and serverless functions handling webhooks.
All providers are bound by Data Processing Agreements (DPAs) and standard industry security practices.
6. International transfers
Anthropic and Vercel store data primarily in the United States; Meta operates globally. By contacting us via WhatsApp or the website form you acknowledge these transfers.
7. Data retention
WhatsApp messages and website conversations are retained for up to 24 months for service operation, follow-up, and improvement. After that they are deleted automatically or upon a deletion request. Data required for tax records (invoices) is retained as required by Israeli law (currently 7 years).
8. Your rights
You have the right to:
- Access the data we hold about you.
- Request correction of inaccurate data.
- Request deletion ("right to be forgotten").
- Request portability in a structured format.
- Withdraw consent at any time — without affecting processing already performed.
- File a complaint with the Israeli Privacy Protection Authority (or your local data protection authority if you are in the EU).
To exercise these rights, email info@agents-head.com describing your request. We aim to respond within 30 days.
9. Security
We use standard industry safeguards (HTTPS for all traffic, encrypted storage on Firebase and Vercel, access limited to authorized personnel). No system is perfectly secure, however, and we cannot guarantee that information transmitted over WhatsApp or the internet will be absolutely safe from interception.
10. Updates
This policy may be updated from time to time. Material changes will be reflected in the "Last updated" date at the top. We recommend reviewing this page periodically.
