How we design for privacy and trust

A personal assistant sees everything — emails, notes, client names, financials — so privacy isn't optional. Every assistant we ship runs with a strict data contract: memory and embeddings stay in the customer's own infrastructure or in a region they choose, the language model runs with no-retention agreements where possible, sensitive fields are redacted before the model sees them, and every action the assistant takes is logged for review. On top of that we engineer a clear approval layer — the assistant is allowed to draft anything, but only allowed to send or book after a human taps approve, until trust is earned.

What adoption looks like in the first month

Week one the assistant mostly summarizes and drafts — it's fast to roll out and immediately saves 30–60 minutes a day per person on inbox triage alone. Week two we wire it into the calendar and CRM so it can take action with approval. By week four, the top three routine actions each user does (forwarding a lead, replying with a quote template, scheduling a follow-up) are handled by the assistant with a single approval tap. Adoption is highest when we let users name their assistant and tune its tone, which sounds frivolous but meaningfully increases daily use.

How is a personal AI assistant different from a customer-facing chatbot?
A customer-facing chatbot talks to your customers and has to stay inside strict, brand-safe rails. A personal AI assistant talks only to you (or your team members individually), has access to your private data, and is allowed to take real actions on your behalf — reply to an email, move a meeting, update a CRM record. Different user, different trust model, different architecture.
Which tools can the assistant plug into?
We routinely connect Gmail, Outlook, Google Calendar, Microsoft Calendar, Google Drive, OneDrive, Notion, Slack, Teams, HubSpot, Salesforce, Pipedrive, Monday, Linear, Jira, GitHub, WhatsApp and custom internal APIs. If the tool has a public API or webhooks, the assistant can almost certainly use it.
Will it send emails or book meetings without my permission?
Only if you explicitly allow it. The default setup is draft-and-approve — the assistant proposes, you tap approve. Once you trust it on a specific action (say, sending acknowledgement replies to routine messages) you can lift the approval on that specific action, and the assistant will act unattended. Every other action still asks for a tap.
How is my data kept private?
Memory, embeddings and logs stay in your infrastructure or in a region you select. The language model runs with a no-retention agreement where the provider supports it, and sensitive fields can be redacted before they ever reach the model. Every action is logged with user, timestamp and context, and you can wipe memory for any user with one call — useful during offboarding.
How long does it take to ship a personal AI assistant?
A focused single-person assistant that summarizes and drafts is usually 2–3 weeks of build and then a couple of weeks of tuning. A team rollout with CRM and calendar integrations typically takes 4–8 weeks depending on how many tools need to be connected. We always start with a pilot user so you can see ROI before rolling out to the whole team.

Running cost is typically $10–$40 per user per month for a moderate-use assistant — a mix of language-model inference, memory storage and tool-call overhead. That cost usually pays back on the first hour of time saved per week per user, which is a low bar for any knowledge worker.
